We're looking for a sharp, reliable right-hand man to the founder- a person who plans two steps ahead, makes sure nothing falls through the cracks, and that the work doesn't stop.
What you will do:
- Email and calendar management (you take ownership, you don't wait for orders)
- Preparation for meetings and follow-up (with the help of AI tools)
- Operational rhythm: weekly sync, monitoring of deadlines, vendors and associates
- Follow up of leads and sales (Go High Level), referrals, events
- Bookkeeping and accounts receivable (QuickBooks or similar)
- Reports, SOPs, presentations and client documents
What we are looking for:
- 5+ years of experience as an EA / Operations Coordinator (ideally with a US founder)
- A true planner who brings solutions, not questions
- Excellent written and spoken English
- Experience with CRM, funnels and automation
- Fast and fluent work with AI tools (ChatGPT, Claude...)
- High discretion and independence
Details:
📍 Remote
🕐 Full-time, overlapping 8:00–18:00 Pacific
💰 $800-$1,200/month (depending on experience)
📈 Possibility of advancement to Chief of Staff position
