POSITION SUMMARY 


The Administrative Assistant provides overall support to the MEDA/ Mastercard Foundation Africa Growth Fund (MFAGF) Ghana office and staff as they accomplish the various program objectives. The Administrative Assistant will provide day-to-day administrative support for the office staff, as well as develop and update informational material, conduct research, support budget and contract management activities, serve as the initial point of contact for MEDA/MFAGF, and other activities as required. This position will report to the Finance Manager MFAGF.

RESPONSIBILITIES


  •  Coordinate the MEDA/MFAGF front office – Serve as the primary point of contact for external inquiries, meet and greet visitors, respond to phone, and email inquiries, identify their needs, and connect inquiries with other MEDA/MFAGF staff as required;
  •  Coordinate logistical and meeting needs for events, project meetings, and other events with responsibility for venue selection, invitation list management, audio visual requirements, catering, material distribution, etc.; 
  •  Take accurate minutes at meetings and other events as required;
  •  Draft, dispatch and receive all office correspondence including letters, visa invitations, and other documents as required, engage with courier companies to facilitate office correspondence; 
  •  Support the Finance Manager in recruitment activities (advertising job postings and consultancies, scheduling interviews, filing applications, etc.); 
  •  Effectively problem solve issues related to scheduling meetings, travel, office needs and other issues/items as assigned; ensuring needs of the organization and staff are met; 
  •  Support the organization of country visits by MEDA staff, MFAGF Partners, donors and other stakeholders, including drafting itineraries, arranging for in-country travel, accommodation, site visits and other activities as required; 
  •  Assist in the preparation of regularly scheduled reports;
  •  Carry out administrative duties such as filing, typing, copying, binding, scanning etc;
  •  Draft letters and emails on behalf of other office staff;
  •  Coordinate daily cleaning of the MEDA/MFAGF office;
  •  Maintain office supplies and coordinate maintenance of office equipment;

 

Any other duties and/or requirements as assigned



REQUIREMENTS


Education: Bachelor’s degree in business administration, management, or other related fields


Experience: Minimum 3 years work experience desirably in the international development sector and in a busy administrative role

 

Additional Qualifications:

  •  Appreciation and support of MEDA’s faith, vision, and values 
  •  Understanding and appreciation of business principles, international development and MEDA’s approach of creating business solutions to poverty 
  •  Excellent computer skills and good knowledge of Microsoft Word, Outlook, PowerPoint, Excel, and related software
  •  Flexible, organized and detail-oriented, with an ability to prioritize multiple assignments and react quickly to changes
  •  Excellent oral and written communication skills in English and local language
  •  Experience organizing conferences and meetings, making domestic and international travel arrangements preferred
  •  Self-starter with confidence and commitment to professional delivery
  •  Ability to work unsupervised and take ownership of queries/issues, bringing them to a successful conclusion
  •  Knowledge of office management systems and procedures
