A reputable real estate company in Ghana advertises to solicit for the services of a highly qualified applicant for the position of an Executive Assistant to the Chief Executive Officer. This is a highly marked labor sourcing, and the applicant must accordingly, exhibit such relevant professional and ethical standards meritorious to the post.

Applicant must be a female of age 18-35, and a tertiary graduate of a distinct academic and, /or professional training.

This position places premium importance on personal and ethical qualities as much as it does for the academic expectation, and therefore, the applicant must exhibit personal imbuement skills of confidence, great communication skills, interpersonal skills, high level of emotional intelligence, corporate leadership and nobility.

Applicant with international diplomatic exposure, travelling experiences and candor in the corporate and political space that can effectively handle the rigorous power struggle on the corporate negotiation table without a sense of intimidation or mediocrity is highly encouraged to apply for this post.

The applicant must therefore, not have any trace of legal misdemeanor or criminal offences or any traces of moral turpitude on the internet or social media platforms, but must show prudence to the organizational management standards of the highest Office of the CEO of the company to the highest apogee of corporate engagement admiration.

The applicant must be an individual with courtesies that cut across multi-cultural and multifunctional organizational communication within the framework of cross-functional organizational teamwork.

She must hold an excellent personality to warrant a positive Public Relations imagery of the highest Office of the CEO, and for that reason, the company as a whole.

A prior experience is not a mandatory prerequisite, but an added advantage.

POSITION SUMMARY

The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, Board of Directors, and Executive Team and Managing the organization’s office operations, including working remotely with the Administrative Assistant and Executive Management Team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

PRIMARY RESPONSIBILITIES

i.                   Answer main phone line and respond to inquiries directed to the CEO’s officeprocess and distribute daily mail. Invest in building long-lasting relationships both externally and internally. Handles all private correspondences channeled specifically to the CEO

ii.                 Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements

iii.               Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record minutes of all meetings on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.

iv.               Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

v.                 Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.

vi.               Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc. 

vii.             Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed. 

viii.           Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.

ix.               Work with the Executive Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.  

x.                 Manage all aspects of organization’s office services. Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for office operation of the organization. Replenish office materials such as snacks, printer supplies, paper, office supplies, provide event management support as requested.

xi.                   Provide hospitality to all guests and help to create a welcoming environment.

 

 

 

 

 

 

QUALIFICATIONS/EXPERIENCE

 

SUCCESSFUL CANDIDATES WILL POSSESS THE FOLLOWING QUALIFICATIONS:

 

Ø Strong ability to execute work with a diversity, equity, and inclusion lens.

Ø Significant executive support experience, including supporting C-level executives. Nonprofit board experience is highly-preferred.   

Ø Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.

Ø Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications).

Ø Strong verbal and written communication skills.

Ø Exceptional organizational skills and impeccable attention to detail.

Ø High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners.

Ø Make appropriate, informed decisions regarding priorities and available time.

Ø Ability to complete a high volume of tasks and projects with little or no guidance.

Ø Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

Ø Able to maintain a high level of integrity and discretion in handling confidential information.

Ø Excellent judgment is essential.

Ø Ability to switch gears at a moment’s notice.
