Department: Administration/Human Resource


Direct Reporting Line: Human Resources & Office Manager

Job Purpose: The Office Administrator is to provide a seamless, effective and proactive administrative support. You will be working in our main reception area, where you will be the first point of contact for our clients either in person or over the phone. You will be meeting and greeting internal and external clients ensuring they receive a warm welcome and leave with the best impression of Obsidian Achernar.


You will also support with wider office management and admin duties.



Front of House

  • Providing a first-class concierge style front of house service for visitors
  • Delivery of all core front of house service such as sign-in, issuing badges, luggage, lost and found and deliveries.
  • Answering main office line and directing calls to the appropriate team member

Office Management & Maintenance

  • Daily building walk around – reporting faults, building issues and house-keeping
  • Ensuring the office, meeting rooms and kitchens are tidy and fully stocked.
  • Managing general office needs including ordering office supplies
  • Ensuring the office space is organised and conference rooms are prepared for meetings
  • Managing the meeting room/training room coordination. Working closely with stakeholders organising departmental training sessions and having full ownership of completing furniture set ups frequently and creating layouts to suit the booking request
  • Assisting with the receiving of goods and equipment – and storing deliveries



  • Assisting with internal events including the preparation of logistics and materials
  • Providing timely, accurate and personalised response to meetings and event enquires


  • To work effectively with teams across the organisation to develop and coordinate internal communications activities

HR & Recruitment Administration

  • Provide administrative and logistical support for interview arranging and liaising with candidates
  • Organising staff events (birthdays gifts, get-togethers etc.)

Clients Support

  • Liaising with clients as when required

Who You Are – Skills/ Requirements


  • You should be able to communicate with all levels of the business. You must have excellent writing skills to communicate effectively by email and produce high-quality correspondence.
  • You must have the ability to manage multiple task simultaneously, respond to work with urgency, understand deadlines and have the ability to prioritise
  • Proficient IT skills – Windows, Microsoft office suites (Word, Excel, PowerPoint)

Educational Background

  • Minimum First Degree
  • Fluency in a second language would an added advantage.   


Work Experience

  •  6 months working with an excellent Corporate Institution as an Office Administrator
